What is an online induction system?
An online induction system is a web-based platform that delivers your site induction to staff, contractors and visitors before they arrive. It replaces classroom sessions and paper sign-off with video-based training, an assessment and a certificate — all tracked in one portal. Inductees complete it on any device, at any time, and site managers can see instantly who is cleared for access.
How does a contractor complete an induction before arriving on site?
The contractor receives an email or link with a unique registration code. They create an account, watch the site-specific induction video, answer the assessment questions and receive a certificate if they pass. Their completion status is visible to site managers immediately. When they arrive at the gate their certificate is verified — either by showing it on their phone or by tapping their RFID card at the access reader.
Can visitors do a shorter induction than staff and contractors?
Yes. The system supports different induction levels. Visitors typically complete a shorter version covering essential safety information, emergency procedures and site rules. This can be done on a tablet at reception or in advance via a link from their host. Visitors are still included in the emergency roll call for the duration of their visit.
Can we use our own induction video or do you produce it?
Both. We produce professional site induction videos — filmed on your site with your people, hazards and rules — and we can also incorporate existing video content you already have. Most clients choose the full production service because site-specific video is significantly more effective than generic training footage.
How are inductions kept up to date when site rules change?
You can update the induction content at any time through the portal. When you make a change, anyone whose certificate predates the update is automatically flagged for re-induction. They receive a notification and must complete the updated section before their access is renewed. This ensures everyone on site has always completed the current version.
What records does the system keep and can we export them for an audit?
Every induction generates a full record: completion date, assessment score, certificate, the version of the induction completed and the expiry date. Records are searchable by individual, by contractor company, by site or by date range, and can be exported as CSV or PDF. This is the evidence HSE inspectors and auditors ask for under the Health and Safety at Work Act 1974 and the Management Regulations 1999.
Does the system link to site access control or turnstiles?
Yes. The induction platform can integrate with access control systems so that only people with a valid, current induction certificate can gain entry. This works with RFID card readers, turnstiles, barrier arms and tablet-based sign-in. If an induction expires, access is automatically blocked until re-induction is completed.
Can one account run inductions for several sites?
Yes. The portal supports multiple sites from a single account. Each site has its own induction content, its own assessment and its own access rules, but management reporting, user administration and compliance tracking work across all sites from one dashboard.
How long does it take to set up an online induction system?
A typical setup takes four to six weeks from initial briefing to go-live. This includes the site visit, video filming and editing, portal configuration, assessment setup and testing. If you already have induction video content, the timeline can be shorter. Multi-site rollouts are phased, usually one site per week.
How much does an online induction system cost?

Contractor and Visitor Inductions

Not everyone who comes on site needs the same induction. The system handles three levels:

Employee inductions are the full programme: site-specific video, rules, hazard awareness, assessment and certificate. Completed before the first day, tracked for expiry, linked to access control.

Contractor inductions add self-registration and sponsor approval. The contractor receives a link, completes the induction remotely, and their certificate is verified at the gate. Site managers see which contractors are cleared and which are overdue.

Visitor inductions are a shorter version covering essential safety information, emergency procedures and site rules. Visitors complete it on a tablet at reception or in advance via a link from their host. They are included in the emergency roll call for the duration of their visit.

Documents — site maps, permit requirements, PPE guides, emergency procedures — are embedded alongside the video so inductees have everything in one place.

Assessments test understanding with multiple-choice questions drawn from the video content. Pass marks are configurable. Failed attempts can be retried or escalated for review.

Content can be updated at any time. When site rules change, the induction is updated and anyone whose certificate predates the change is flagged for re-induction automatically.

Every completed induction generates a record: completion date, assessment score, certificate, expiry date and a link to the version of the induction they completed. The system tracks expiry automatically and sends re-induction reminders before certificates lapse.

Records are exportable for audit at any time — by site, by date range, by contractor company or by individual. This is the evidence inspectors ask for.

Legal context: the Health and Safety at Work Act 1974 section 2 places a duty on employers to provide information, instruction and training. The Management of Health and Safety at Work Regulations 1999 regulation 13 requires training on recruitment, on change of role and on the introduction of new equipment or technology.
